If you are using our services to arrange a visa, please confirm to us in writing that you and any travelling companions have read this notice and understand and agree to its contents.

If you wish us to store Type B data as defined in section 1, please give your consent in writing for that as in section 2.
1. Overview
Scott’s Travel Management Ltd will be what is known as the ‘Controller’ of the personal data you provide us with. We collect two types of data about you:
A) Basic personal data about you, primarily your name, address, email, phone number.
B) The information requested by the relevant embassy for their application form and supporting documents – this covers a wide variety of data, including for example, information such as your passport details, employment details, results of a criminal records check where applicable.
2. How long we keep your data
We are required under UK tax law to keep your type A basic personal data (name, address, contact details).
Type B information is by default destroyed after we have finished processing your visa.
However, some clients wish us to keep type B information in order to simplify the processing of future visas. If you wish us to do this, please instruct us by email to keep your type B data – specifying whether we should keep all of it, or certain named parts of it.

We need to know both types of your data in order to provide you with the service we have agreed with you. We will not collect any personal data from you that we do not need in order to provide and oversee this service to you.

In most cases, the relevant authority will transfer your data outside of the UK/EU to the country your application relates to.
For the purposes of IT hosting and maintenance the information we hold ourselves is located on servers within the European Union.
5. Arranging Official Invitations and Visa Support Letters
Where we are asked to help arrange support documentation from the destination country, such as Russian invitations, we will need to send your data of both Types to our partners in that country, and in most cases they will need to share your data with the relevant government.
6. Your rights
If at any point you believe the information we process on you is incorrect, you can request to see this information and have it corrected or deleted. If you wish to raise a complaint about how we have handled your personal data, you can contact us to have the matter investigated using feedback@scottstm.co.uk.
